Pulse surveys are a tool to gather feedback and assess user sentiment on a change or transformation plan. You can use it to understand how users are feeling about a change, get feedback on the change activation process, user engagement, user satisfaction, and more.

You can create targeted pulse surveys via the Admin Portal. They will appear for end users on their homepage.

What is a Pulse Survey?

A pulse survey is a short questionnaire used to gather real-time feedback from employees. They are created in the Admin Portal and can be sent out to your desired target audience(s).

Who can create Pulse Surveys?

Pulse Surveys can be created by:

  1. Org admins

  2. Global content creators

Why should I use Pulse Surveys?

Pulse Surveys should be used to gather real-time feedback on change initiatives, how a change is playing out for different employee groups, and understanding general employee sentiment. They are meant to be brief and used in recurring intervals to gather feedback that can be deployed to alter the change journey for different target audiences.

This helps create a positive feedback culture and transparency in the change process, thereby building trust. The feedback received must be implemented in the current changes to an employee and should be taken into consideration for future initiatives

Where do I find Pulse Surveys?

You can find Pulse Surveys as a section under Feedback Loops in the Admin Portal. Here, you will see a list of all the surveys created with filters to help you narrow down your search.

What are the different statuses of Pulse Surveys?

  1. Published: The survey is published & scheduled for a future start date.

  2. Active: The survey has started & is viewable by the target audience.

  3. Ended: The survey has reached its end date or has been manually stopped by an admin.

  4. Draft: The survey is currently being created & has not been published to users yet.

How do I create Pulse Surveys?

  1. Go to the Pulse Surveys tab under the Admin Portal

  2. Click on Create

  3. Fill out the questions in the Build Survey tab along with survey settings, such as anonymity and survey title.

  4. In the Schedule Delivery tab, find details on the delivery of the survey and edit the survey duration.

  5. In the Targeting Options tab, choose the target audience for the survey. You can choose between users and groups or create a dynamic audience.

  6. You can preview the survey as an end user in the Preview tab.

What are the settings available for me to customise my Pulse Survey?

When creating a Pulse Survey, the following options are available to you:

  1. Question type: Admins can choose between multi/single-select questions, polls, rating sliders, or freeform text input. For rating sliders, admins can decide the scale range and the labels on either end of the slider.

  2. Responder identity: You can choose if you would like to keep responder identity anonymous or not.

  3. Input requirement: Admins can set whether a question in a survey is compulsory to complete or not, ie, whether or not end users can skip a question.

  4. Survey Duration: Choose how long the survey will be visible to the target audience. You can choose to have the survey running indefinitely by clicking the No End Date checkbox or set a start and end date.

  5. Targeting Options: Choose the desired audience for your survey. You can choose to do this at a user level, group level, or create dynamic audiences.

  6. You can preview surveys as an end user by clicking on the preview tab.

  7. Pulse Surveys can be saved as drafts and published later.

  8. Once published, the survey duration is the only field that can be edited. You can choose to extend the survey duration beyond its current range but cannot bring it forward. You can also edit the “No End Date” checkbox.

What are the question types available to me in Pulse Surveys?

You can choose from the following question types:

  1. Single select questions

  2. Multi-select questions

  3. Polls

  4. Rating slider

  5. Freeform inputs

What will I find on the Pulse Surveys detail page?

If the Pulse Survey is active or published:

  • You can view the overall results in the Overall Results tab.

  • View each user’s response in the Responses tab.

  • View and modify (if required) the survey duration in the Scheduled Delivery tab.

  • View the survey’s target audience in the Targeting Options tab.

  • Preview the survey as an end user.

  • You can also export the overall results and individual user responses to your email.

If the Pulse Survey is in draft state:

  • You can edit or delete the draft.

  • Preview the survey as an end user.

If the Pulse Survey is ended:

  • You can view the Overall Results and Responses.

  • Preview the survey as an end user.

  • You can also export the overall results and individual user responses to your email.

  • You can also change the survey duration to extend it beyond its current end date.

What is included in Responses?

In this section of the survey detail page, you can view each user's response to every question on the survey.

You can export these results for further analysis.

What is included in Overall Results?

In this section of the survey detail page, you will find three pie charts showcasing data on the:

  1. Total Users Targeted - The size of your selected target audience.

  2. Users Reached - Total number of users for whom the pulse survey has been displayed.

  3. Users Completed - Total number of users who have completed the survey.

  4. Completion Rate - Percentage of users who have completed the survey out of the total users targeted.

You will also find a table below that lists all the users who have taken the survey.

You can export these results for further analysis.

What are the best practices to follow when creating Pulse Surveys?

Here are some best practices to keep in mind when creating pulse surveys:

  1. Keep your survey short, ideally a maximum of 3-5 questions. This is to ensure that you gather real-time feedback without burdening the user.

  2. Your goal with pulse surveys is to gather qualitative feedback on employee engagement and satisfaction. Draft your question along these lines for each change to track sentiment across each change.

  3. Use pulse surveys to ask the same questions and track user sentiment over a period of time.
